Countries around the world have updated legislation to allow replacing expensive paper archives with eArchives, an electronic archiving solution, provided the original documents are digitally signed during the scanning and eArchive process. The global move toward eArchives is expected to save companies billions in expenses.

Until the recent legislation changes, companies were obliged to manage or outsource expensive physical archiving in order to comply with the requirement to present original documents during a legal dispute. However, by implementing legally binding digital signatures, such as the CoSign® digital signature solution, companies are now able to legally sign documents before entering them into an eArchive, freeing them from the original paperwork.

What are digital signatures?

Digital signatures (standard electronic signatures) enable organizations to seal electronically archived documents. Any changes made to these documents will be instantly visible as the seal is "broken". This means signer authenticity is guaranteed, and that accountability, data integrity and non-repudiation of documents and transactions is ensured.

Typical adopters of such solutions include the healthcare and pharmaceutical industries, governmental departments, universities and legal offices, among others.

A Better Way

CoSign is a digital signature solution that takes a better approach. By embedding the standard signature technology directly into mainstream business applications, CoSign makes it easy to digitally sign transactions, documents, and records. CoSign embeds a signature record that travels with the document for every signature it captures. This Portable Signature Format (CoSign PSF™) allows anyone to seamlessly verify and retain proof of identity, intent, and document integrity without costly, complicated, or proprietary software. As a result, CoSign keeps your business running smoothly by fully automating and quickly scaling processes at a low cost with proper controls.

How does CoSign work with eArchives?

CoSign for eArchives is implemented via a combined hardware and software solution:
Hardware: The tamper-proof CoSign hardware appliance enables centralized key generation, storage, and signing operations.
Software: The software component of CoSign serves to integrate the solution with various 3rd party applications (such as Microsoft® Word, Excel®, Outlook®, Adobe Acrobat, and many others) and User Management Systems (such as Active Directory).
